Privacy Policy

This Privacy Policy explains how Smatbeez ("we", "us") collects, uses, shares and protects information when you use the Smatbeez mobile app, the smatbeez.co.tz website, and related services (together, the "Service"). It applies to traders and businesses in Tanzania who use Smatbeez to track compliance deadlines.
1. Information We Collect
Account information: your name, business name, phone number, email address, region and trader type (retail, importer/exporter, or e-commerce), collected when you create an account.
Authentication information: your password (stored in encrypted/hashed form, never in plain text), and, if you sign in with Google or Apple, the identifier those providers give us to recognise your account. If phone verification is enabled, we process the one-time code sent to your number.
Compliance and deadline data: the tax, licence and permit deadlines generated for your account based on your region and trader type, and your filing status for each (for example, whether you've marked something as filed or renewed).
Documents: files you choose to upload to your document vault (certificates, receipts and similar records), along with their title, category and file size.
Notification preferences: which channels you've enabled (push, email, SMS), which reminder intervals you want, and any quiet-hours window you set.
Subscription and billing information: your plan (free or Premium), billing cycle, and a payment reference for mobile money transactions. We do not store your mobile money PIN, card numbers or full payment credentials — those are handled by our payment/mobile money partners.
Device and usage information: basic technical data needed to operate the app and deliver push notifications (such as a device token), and app usage necessary for customer support and troubleshooting.
Communications: if you contact us (for example, at info@smatbeez.co.tz), we keep a record of that correspondence to respond and to improve the Service.
2. How We Use Your Information
We use your information to: build and maintain your personalised compliance calendar; send you the reminders and notifications you've opted into; provide the document vault; process and manage your subscription; provide customer support; detect and prevent fraud, abuse or security issues; and improve and maintain the Service.
3. How We Share Information
We do not sell your personal data. We share information only as needed to operate the Service:
With service providers who help us run Smatbeez — for example, our SMS provider for text reminders, our email provider for email reminders and account messages, and Google or Apple where you choose social sign-in. These providers only receive the information necessary to perform their function and are not permitted to use it for their own purposes.
With mobile money and payment partners, to process Premium subscription payments.
With government authorities or regulators, only where required by law, legal process, or to protect the rights, property or safety of Smatbeez, our users, or the public.
In connection with a business transfer (such as a merger or acquisition), where your information may be transferred as part of that transaction, subject to this Policy or a policy at least as protective.
4. Data Storage and Security
Your data is stored on servers operated by Smatbeez and its hosting provider. Passwords are hashed, not stored in plain text, and sensitive configuration secrets are encrypted at rest. We restrict access to personal data to what's needed to operate the Service. No method of storage or transmission is completely secure, and we cannot guarantee absolute security, but we take reasonable technical and organisational measures to protect your information.
5. Data Retention
We retain your information for as long as your account is active, and for a reasonable period afterward where needed to comply with legal, tax or accounting obligations, resolve disputes, or enforce our agreements. If you delete your account from Settings, your compliance calendar, documents, subscription record and account details are permanently deleted; uploaded document files are removed from storage as part of that process. This action cannot be undone.
6. Your Rights
Depending on applicable law, including Tanzania's Personal Data Protection Act, you may have the right to: access the personal data we hold about you; correct inaccurate data; request deletion of your data; object to or restrict certain processing; and withdraw consent for optional communications (for example, by turning off a notification channel in Settings) at any time. You can exercise most of these rights directly in the app (editing your profile and region, managing notification channels, or deleting your account), or by contacting us at info@smatbeez.co.tz.
7. Children's Privacy
Smatbeez is intended for business owners and traders and is not directed at children. We do not knowingly collect personal data from anyone under 18. If you believe a child has provided us with personal data, contact us and we will take appropriate steps to remove it.
8. Cookies (Website)
The smatbeez.co.tz website uses only the cookies necessary for the site to function, such as keeping you signed in to the admin panel. We do not use third-party advertising or tracking cookies.
9. International Data Transfers
Some of our service providers (for example, cloud hosting, email or push notification infrastructure) may process data outside Tanzania. Where this happens, we take steps to ensure your information continues to receive an appropriate level of protection.
10. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes to the Service or our practices. If we make material changes, we will make reasonable efforts to notify you (for example, in the app or by email). The "Last updated" date at the top of this page shows when it was last revised.
